Privacy Policy
AgencyScope Privacy Policy · Version 1.0 · Effective October 13, 2026
This Privacy Policy explains how Agency Scope LLC, doing business as AgencyScope ("AgencyScope," "we," "us," or "our"), collects, uses, shares, and protects information when you visit agencyscope.com, use the AgencyScope web or mobile apps, or otherwise interact with us (together, the "Services").
AgencyScope is a business tool used by insurance agencies ("Customers") and the people they invite to use it ("Authorized Users"). This policy is part of the AgencyScope Customer Agreement. If this policy and the Customer Agreement conflict, the Customer Agreement controls.
1. Who Is Responsible for Your Information
- When an agency uses AgencyScope, the agency decides what information about its team members, clients and business is entered into the Services ("Customer Data"). For Customer Data, AgencyScope processes information on the agency's behalf and according to its instructions, and the agency is responsible for its own privacy practices toward its employees and clients.
- AgencyScope is responsible for information we collect for our own purposes, such as website visitors, demo requests, account sign-in details, billing contacts and support conversations.
- If you are a team member at an agency and have questions about how your agency uses AgencyScope, please contact your agency first. We will help your agency respond where we can.
2. Information We Collect
Information you or your agency provide:
- Account information: name, email address, password (stored in hashed form), role, job title, profile photo, and team or agency membership.
- Agency information: agency name, logo, time zone, product lines, carriers, commission plans, goals, expectations and settings.
- Sales and business records: sales, quotes, renewals, policies, premiums, products, carriers, activities, notes, chargebacks, and related details. These records may include information about an agency's own clients, such as names, ZIP codes, policy types and premium amounts, and any other details an agency chooses to enter.
- Performance and compensation information about team members: production, goals, expectations, rankings, scorecards, commissions, bonuses, challenges, achievements, and time clock entries where an agency uses those features.
- Messages and content: team chat messages, announcements, polls, reactions, sticky notes, support chat messages, ideas you submit, and files or photos you upload.
- Agreement records: when an agency owner accepts the Customer Agreement, we record the name, title, email, agency, agreement version, time of acceptance, IP address and browser information as proof of acceptance.
- Billing information: billing contact details and subscription status. Card and payment details are collected and stored by our payment processor, Stripe. AgencyScope does not store full card numbers.
- Demo and contact requests: information you give us when you book a demo or contact us, such as your name, email, agency and the time you choose.
Information collected automatically:
- Device and usage information: IP address, browser and device type, operating system, pages and features used, and the dates and times of activity. We use this to run, secure and improve the Services, including session timeouts and sign-in protection.
- Cookies and local storage: we use cookies and similar browser or device storage that are necessary to keep you signed in, remember preferences (such as your theme or dashboard layout), remember a referral code during signup, and let the mobile app work offline. We do not use advertising cookies.
- Website analytics: we collect aggregated visit statistics for our public website, such as pages viewed, referring sites, device type and country.
Mobile app:
- If you allow it, the mobile app may use your camera or photo library (for profile photos), send push notifications, and use your device's built-in Face ID, Touch ID or fingerprint unlock. Biometric checks happen entirely on your device. AgencyScope never receives your biometric data.
- The app may store some data on your device so it can work offline and sync when you reconnect.
Information from third parties:
- If you choose to sign in with Google, we receive your name, email address and profile photo from Google.
- Our payment processor tells us whether payments succeed and the status of your subscription.
3. How We Use Information
We use information to:
- provide, operate and maintain the Services, including dashboards, leaderboards, goals, commission and bonus calculations, funnels, renewals, reports and notifications;
- create and secure accounts, verify email addresses, and prevent fraud, abuse and unauthorized access;
- process subscriptions, payments and invoices;
- send service messages, such as sign-in and verification emails, receipts, billing notices, scheduled reports your agency sets up, and important updates about the Services;
- provide customer support, onboarding and training;
- schedule and run product demos;
- understand how the Services are used so we can fix problems and improve features;
- comply with legal obligations and enforce our agreements.
We do not sell personal information, and we do not use Customer Data to advertise to you or to anyone else.
4. How Information Is Shared
- Within your agency: AgencyScope is designed for visibility. Depending on the roles and permissions your agency sets, other people in your agency may see information about you, such as your name, photo, production, goals, rankings, achievements, chat messages and, for managers and owners, compensation details.
- Service providers: we use trusted providers to host and run the Services on our behalf, including cloud hosting and database providers, email delivery, payment processing (Stripe), demo scheduling (Cal.com), sign-in (Google, if you choose it), mapping, and push notification services. They may use information only to provide their services to us.
- AI features: if AgencyScope offers features powered by artificial intelligence, relevant data may be sent to an AI service provider to generate the result. We do not allow those providers to use Customer Data to train their models.
- Legal and safety: we may disclose information if required by law, subpoena or other legal process, or when we believe in good faith it is necessary to protect the rights, property or safety of AgencyScope, our Customers or others.
- Business transfers: if AgencyScope is involved in a merger, acquisition, financing or sale of assets, information may be transferred as part of that transaction, subject to this policy.
- With your direction: we share information when you or your agency tell us to, such as when you share an achievement card outside the app.
5. Data Retention
- We keep Customer Data for as long as the agency's account is active and as needed to provide the Services.
- After an account is canceled or terminated, we may keep Customer Data for a limited period so the agency can reactivate or export it, and then delete or de-identify it, unless we need to keep it longer for legal, tax, accounting, security or dispute purposes.
- Agreement acceptance records and billing records are kept as long as needed to meet legal and business obligations.
- Backups are overwritten on a regular schedule.
6. Security
We use reasonable administrative, technical and physical safeguards designed to protect information, including encryption in transit, access controls and role-based permissions, automatic session timeouts and secure hosting. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please keep your password private and tell us right away if you believe your account has been compromised.
7. Your Choices and Rights
- Account information: you can view and update much of your profile information in the app. Your agency's owner or managers can also update or remove your account.
- Requests: depending on where you live, you may have the right to request access to, correction of, deletion of, or a copy of your personal information, and to object to or limit certain uses. To make a request, contact us using the details below. If your request concerns Customer Data your agency controls, we may refer you to your agency or work with them to respond.
- Communications: you can opt out of non-essential emails using the link in the email. We will still send service messages related to your account.
- Push notifications and device permissions: you can turn these off at any time in your device settings.
- We will not discriminate against you for exercising any of your privacy rights.
8. Children's Privacy
AgencyScope is a business service intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, please contact us and we will delete it.
9. Where Information Is Processed
AgencyScope is based in the United States, and information is stored and processed in the United States. If you access the Services from outside the United States, your information will be transferred to and processed in the United States.
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date and notify Customers through the Services, by email, or by another reasonable method.
